Where our team ships the work and clients watch it move.

Digiboffins Workspace is the invite-only platform where our team plans and ships client projects. Clients join the same projects as viewers and see every task change as it happens, so nobody has to send a status email.

The brief

What we needed for our own work

Digiboffins runs many client projects at once, across developers, designers, SEO and sales. We built our own workspace around four goals.

4goals, and how we answered each

  1. Give clients a live view of their project

Clients are invited to a project as viewers. They see the tasks, who is on them and what stage they are in, and nothing marked internal.

Project rolesAdmin · Member · Viewer (client)

  2. Run every kind of project in one place

Tasks with several assignees, subtasks, priorities and due dates, and statuses each project defines for itself.

Ways to see the workKanban · List · Calendar · My Tasks

  3. Keep the conversation next to the work

Comments on tasks, an inbox, and one-to-one and group chat with live online status, inside the same app.

Talk in the workspaceTask comments · Inbox · Direct chat · Group chat

  4. Let AI do the setup work

An assistant that drafts a project plan from an idea or a brief, and an MCP server that lets AI assistants read and update tasks.

From brief to boardIdea or document → AI draft plan → Tasks & subtasks → On the board

The challenge

What slows an agency down

Agency work spreads across a team, several clients and many tools. Four problems kept costing us time.

See what we built
  1. Without a shared view, every client update meant writing a status email or getting on a call, and the answer was out of date by the next day.

    • Clients need to see progress themselves
    • Internal notes must stay internal
    • Feedback should land on the task it is about
    Clients ask "where are we?"01 / 04

    Key finding

    1

shared workspace for the team and the client

  2. An SEO audit, a website build and a sales onboarding plan don't move through the same stages. A fixed set of columns didn't fit any of them well.

    • Statuses set per project
    • Several people on one task
    • Repeating work set up once
    Every project works differently02 / 04

    Key finding

    4

priority levels, from low to urgent

  3. Decisions made in chat apps and email had to be copied back into the task, or they got lost.

    • Chat inside the workspace
    • Comments and files on the task
    • A record of who changed what
    Conversations lived somewhere else03 / 04

    Key finding

    7

kinds of change in each project's activity log

  4. Turning a client brief into tasks and subtasks was slow, repetitive work done before any real work could start.

    • Plans drafted from an idea
    • Briefs read from attached files
    • Tasks created without retyping
    Setting up a project took hours04 / 04

The solution

What we built

A Next.js web app, a Node.js API with real-time updates, and a Flutter mobile client. Four parts answer the four challenges, as they work today.

0status emails needed to keep a client informed

Clients ask "where are we?"

Clients join a project by email invite and see every task, its stage and who is on it, updated live. Tasks and files marked internal stay hidden from them, and each project decides whether clients can comment.

  • Viewer role for clients
  • Internal tasks and files hidden
  • Client comments switched on per project
  • Live updates over Socket.io

3views of the same tasks

Every project works differently

Each project sets its own statuses. Tasks carry several assignees, subtasks, priority and due date, and can repeat daily, weekly or monthly. The team works in Kanban, List or Calendar, and My Tasks pulls everything assigned to one person into one list.

  • Custom statuses per project
  • Drag-and-drop Kanban
  • Day, week and month calendar
  • Recurring tasks

7activity filters on every project

Conversations lived somewhere else

One-to-one and group chat with typing indicators, read receipts and online status sit beside the projects. Comments, attachments and an activity log filtered by status, assignment, priority, comments, files, subtasks and notes keep every decision on the record.

  • Direct and group chat
  • Inbox for mentions and invites
  • Drag-and-drop file attachments
  • Per-project activity log

15MCP tools, from list_projects to post_comment

Setting up a project took hours

Panda, the built-in assistant, answers questions about projects, tasks, overdue work and subtask progress, and drafts a full project plan from an idea or an attached brief. A hosted MCP server lets AI assistants list, create, assign and comment on tasks directly.

  • Quick actions for projects and overdue work
  • Plans drafted from an idea or a file
  • Input and output safety checks
  • 15 MCP tools for tasks and projects

Also in the build

  • Invite-only access

Email invites with one-time codes, and roles at both workspace and project level.

  • Plans and payments

Free, Pro, Business and Enterprise plans, with upgrades paid through Razorpay.

  • A dashboard that flags risk

Task split by status, open tasks by due date and an overdue alert on every screen.

  • A mobile client

A Flutter app for iOS and Android with tasks, chat and inbox, using the same API.

  • Several workspaces, one login

Switch between workspaces from the sidebar, with each one's projects listed underneath.
